How to follow up the signing
You can follow-up signature requests both on recipient and on document level.
Note!
Especially with many recipients, we recommend monitoring the signing process carefully. If only one of many recipients does not sign in time, you must cancel the request and send it out again to all recipients. This may seem cumbersome; but there are legal reasons for this.
Note that Complete Control can send out automatic reminders to avoid such situations. Also, you can manually send out reminders to any recipient who has not signed yet. Read more under How to send out reminders.
The overview list displays all signature requests with status - both ongoing and past requests.
Icons and colors show the progress/status of a signature request.
-
Pending: The request is "waiting" for signatures. Some recipients may have already signed (you will see this when you open the signature card), but not all. -
Cancelled: The request has been cancelled internally in your company before it has been signed. -
Completed: The request is fully signed. A new email with a link to the signed documents has been sent to the recipients so that they can download them. -
Expired: The signing deadline has expired. -
Rejected: Only Egreement. At least 1 recipient has rejected the signature. This invalidates the entire request. -
Red triangle: If there is an issue with the signing (e.g. because an email address was wrong and has been returned), this icon is displayed next to the status. You must adjust the email address. Read more here.
You can see who has signed on the signature card:
-
Pending: The recipient must still sign. -
Deleted: The recipient has been deleted from the request and can no longer sign. -
Completed: The recipient has signed the request. -
Red triangle: The last email to this recipient has been returned. -
Rejected: The recipient has rejected to sign (only Egreement). This means that the whole signing process has been canceled.
Tip!
If you have pending requests and think the recipients should be reminded, you can send reminders from this card. This function can also be used in addition to automatic reminders (if activated). Read more about reminders under How to send out reminders.
You can add a Dashbard widget for Digital Signing. It allows you to switch between:
-
Completed requests
-
Not completed requests (all other statuses)
The creator of a signature requests will get a bell notification in the main menu whenever a request is:
-
completed (signed)
-
expired (failed because of missing signatures)
-
rejected (failed) - only Egreement
You have also access to Digital Signing here if the format is supported by the digital signature provider:
-
On all file attachments on e.g. person, contract and asset cards
-
In the Files explorer
