The person's card is displayed when you create a new person or when you view/edit an existing person. In view mode, the top right box on the card displays upcoming events. If there are no "current" events, a placeholder image is displayed.

In view mode, click the dot menu to e.g. Edit, Copy (if available) or Delete.
Tip!
View mode displays only fields with content. To view all available fields, switch to editing mode.
Click to expand or collapse all sections (except for some minor sections such as the Changelog or Roles).

Template: Select the correct template, e.g. for Employee or Other Contact. You can also select a different template later, but might use some of the information you already registered.
Tip!
You can also switch templates. But note that different templates have different requirements for field entries. So, when switching the template you must be aware that some information from your current template might get lost.
First name: The person's first name.
Last name: The person's last name.
Profile photo: Option to upload a profile photo.
Status: Select "Active" or "Inactive" status from the drop-down menu. Changes to the menu can be made under People system settings for states.
Note!
If a person quits, it is important to change the status of that person to Inactive in the system. A list of all the person's areas of responsibility will be displayed, with the option of assigning responsibility to one or more other persons. Select the desired units, and select from the menu Choose new person .... If the person quitting has also had system access, remove this before saving the person entry by removing the check in the Enable user account.
Category: Select the predefined category from the drop-down menu. Changes to the menu can be made under People system settings for categories.
Department: Select the department from the drop-down menu.
Location: A location may be selected from the drop-down menu.
Date of birth: Select from the calendar or use the format [ddmmyyyy].
Notes: Use the notes field to add important additional information. The information is also included on event notifications. For dynamic information (e.g. questions and answers), use the comments field instead.
Tip!
Notes can also be displayed in the overview list. Open the column selector and check Notes. All information entered in the notes field can later be searched for using the free text search.

This section displays future events such as an upcoming jubilees and is only displayed if you have the optional module Advanced Notifications. Read also Advanced Notifications. Your regular contact person at House of Control AS can tell you more about this extension.

Position: Position title or role.
Superior employee: Link superior employee (immediate superior).
Employment date: Select from the calendar or use the format [ddmmyy].
Employee number: Employee number.
Labels: You can select a pre-defined label from the list to highlight this person. Labels are set-up by the system administrator in the system settings for people. See also People system settings for labels.
E-mail: Person's e-mail address. New email addresses can be automatically verified: If you tick Verify email when saving, CC5 will send a verification link after you have saved your changes. The user must click the link to confirm that the email address is correct. Once the mail is verified, this will be displayed next to the field. Note that verification of emails is especially important for 2-factor-authentication and forgotten passwords.
Phone: Phone number.
Mobile phone: Mobile number. New mobile numbers can be automatically verified: If you tick Verify email when saving, CC5 will send a verification link via sms after you have saved your changes. The user must click the link to confirm that the number is correct. Once the number is verified, this will be displayed next to the field. Note that verification of emails is especially important for 2-factor-authentication and forgotten passwords.

The person's private address.

If you agreed on a layoff, enter the start and end date and the percentage. This is additional functionality that is not included in the standard solution.

You can attach files for a person, e.g. licenses and courses or contracts. In case of contracts, you can also send files off for digital signing. If this is of interest, read more under Digital Signing.

You can register competences and key qualifications. The latter is also displayed in the standard version of Complete Control whereas registration of detailed and searchable competences is part of an optional module. Read more under Skills & Qualifications.

Access to this section is restricted. Standard users will see their username and user group.
If the person shall get user access to the system, you as a system administrator must activate the user account: Read more here.
Enable user account: Allows you to create a new user by entering the following fields.
Username: This must be the user's email address.
User group: Defines the user's access rights. Read more here.
Welcome email. Sends an email to the user with link to Complete Control and the possibility to set the password.
The welcome message is sent in your user language. If you want everyone to be able to read the message, ensure you have English as user language.

The comment field can be used as a work log, with information on the time of the comment and who wrote it. The comments are visible to anyone who has access to the entry. Readers can also enter comments.

Here you find document templates that are available for this person. This could e.g. be sick-leave related information, templates for termination and more. Your system administrator can create more templates in the System Settings for People under People system settings for document templates. This is optional functionality. If you have registered competencies, you can download the user information as CV. Your system administrator can create templates for CV's in the system settings. Here you can find all roles the employee/contact has in the database. If the person e.g. is entered as the responsible employee for a certain contract or for people, this is listed here in this tab.
Tip!
In the person list are the number of roles a person has displayed in the column Roles (number). If you click the number, this information is displayed.

Here you can find information about when and how often this user has opened the program. The date and time is displayed with the PC's IP address and the authentication method.

Here you can view all changes that have been done for this record, including data, time and responsible. This does e.g. also include files which were added or removed and changes to fields.
