Access control for user groups
Path in CC5: System Settings - Access Control - User Groups
Under the User Groups tab, four different levels of user groups are displayed in the system. These user groups give you a pre-structure of the different accesses in Complete Control. You will find e.g. one section for system administrators, one for standard users and one for users with Read-only access.
Under each level, you can create as many user groups as necessary. Later, you will assign these user groups to the various users of the system. The rights assigned to the user group will then be assigned to the users in this group.
Access types
CC5 comes with several pre-defines access groups. These groups shall help you to structure user accesses in your company.
System
Level for system administrators. User groups on this level have always full access to everything - all companies, modules, functions and content registered in the system.
Note!
It is not possible to "reduce" the number of rights on this level.
Administrator
Use this group to create administrator for your different companies in CC5.
There are no system limitations for access rights on this level. So, in theory, you could create administrator groups with exactly the same access as system administrators. The difference is rather that you can reduce rights: Because businesses often only want to have one system administrator (with access to everything). Therefore, they create some additional local "administrators" with full access to their own company, but no or reduced access to other companies in the system.
Standard
Also this user level has no "official" limitation. In theory, you can give also users in this group system administrator rights.
Use this level to define standard user groups in your company. These are users with more than read rights, but less rights than administrators. For example, you can create a user group for your HR department with the right to read, edit, create and delete people - but with no access to contracts. And you create a user group for your Accounting department with the right to read, edit, and create contracts - but no access to delete contracts or to view registered people in the system.
Thus, you can use this level to tailor accesses that fit your specific business needs.
Contract owner
Contract owners can only get read-only rights in most modules. However, in the Contracts module, they can also be allowed to update contracts for which they are the "responsible employee". Since this also includes being able to add or delete files, they can be granted these rights in the Files module.
Contract owners can also create and manage digital signature requests (in conjunction with the add-on module Digital Signing).
Read only / Read only + Digital signature
This is the user level with least access rights. Users in a Read group can have maximum read access to the data registered in CC5. Thus, they might be able to read a contract, see registered people or assets and read files - but they can't create, edit or delete anything.
Tip!
A special variant of the read license is Read only + Digital signature. This is a separate group for users with read rights who at the same time shall be able to handle digital signatures in the solution.
Create a new user group
You can add a new user group below each access type and then fine-tune the access for it by clicking Add new group. The number of users and readers depend on your license agreement. Read more about creating new user groups under User access card.
Edit or copy user groups
You can edit a user group by clicking Edit next to it. Read also User access card.
If you want to create a new user group with similar access rights, you can Copy a user group and then adjust the new group.
