About file sizes and file access in signature requests

File size depends on the provider you are connected to (Signicat or E-identitet). File security is independent of the provider.

Tip!
Ask your system administrator if you do not know which provider you are using.

File size

  • E-identitet: 50 MB per file

  • Signicat: A single file should not be larger than 10 MB. The entire signature request should not be larger than 70 MB.

File security (access control)

Many customers wonder what happens to the files that shall be signed digitally: Can others view them in CC5? If yes, who has access? And where are they stored?

The table below gives a quick overview of who has access to which files in a signature request. * Users must have at least read access to the storage place. A storage place is e.g. a file directory under Shared files or a specific contract card, person card or asset card etc.

Note!
Only system administrators have access to files that are uploaded from PC. Other administrators don't have access.

Note!
To see a signature request in the overview list, you must have access to at least 1 file that shall be signed.
If you don't have access to all files that shall be signed, those you don't have access to are hidden.

Access rights in case of several files

The following description is valid for both ongoing and completed signature requests.

Example A: Files from own PC
System administrators can view the signature request and the file.

Other employees don't have access to the signature request or the file.

Example B: Files from own PC and "Shared files"
System administrators can view the signature request and all files.

Employees with at least read rights for the shared directory can view the request and the file from Shared files. The file from the PC is hidden.

Other employees don't have access to the signature request or files.

Example C: Files from own PC and "My files"
System administrators can view the request with the file from the PC. The file from My files is hidden.

Other employees don't have access to the request or files.

Example D: Files from own PC, "Shared files", "My files" and a contract card.
System administrators can view everything except for the file from My files (hidden).

Employees with access to at least 1 file storage place (Shared files or - in this example - contract card), can view the request and the file they have access to. Other files are hidden. The example below is for an employee who has both access to the shared directory and the contract card.

Saving of signed files

CC5 only stores signed files on the signature card. But you can save them also to the Files directory. To do so, open the related signature request and click Save next to the file.

If you save a file, the access rights for the new storage place are applied.
